Menu: People > Person Filters
Many clubs have a large number of participants, and often have a need to restrict the list of participants to those appropriate for a given need. Person Filters are used to save search criteria for use in other parts of the system. A filter can be applied to a Custom Person List, or in the Team Selection screen to select a team from. You can also send an email to the participants that meet the filter criteria via the Email People screen.
· Follow the above menu path
· Click Add New Filter
· Complete the Filter Name field. This will be the name used to identify the Filter on pages which use Person Filters (such as Custom Player Lists and Team Selection)
· Optionally, enter a Filter Description. This is only displayed on the Person Filter Management screen to further describe the Filter
· Select whether the filter is Dynamic or Static
o DYNAMIC filters are based on search criteria such as date of birth, player status etc. This means that the participants that appear within DYNAMIC filters can change as their data changes. For example, if a filter was set up to return all participants under 18 years of age, the list would return those under 18 at the time the filter is run. As participants turn 18, they would automatically 'disappear' from the filter results. See below for further details
o STATIC filters are collections of participants that are not dependent on any criteria – you simply add the participants to the filter. Whilst Static filters are useful in cases where Dynamic filters cannot return the desired results, Static filters must be manually updated as participants need to be added or removed. See below for further details
· Make a selection in the Role and Sub-Role fields.
· Select any of the options in the Advanced Search Criteria section
o Person Name – you can specify all or part of a name to be displayed
o Date of Birth range – specify an age range by completing the From and To fields in dd/mm/yyyy format.
o Gender – select a checkbox or de-select both to ignore gender.
o Registration – tick the checkbox to display only those players registered for the current association. Available at Association level only.
o Organisation – Select the first radio button, Include records within the current organisation, to display only those people listed in the current organisations Person List. Or tick the Also include records from child organisations of the selected organisation checkbox to include people listed on your affiliated club lists.
· Click Save and ok
· Choose STATIC as the filter type
· All participants on your list are displayed in the left hand box (Available Participants)
· Move participants to or from the Chosen participants list:
o To add a single player - click the player in the Available participants list and click the Add button (or just double click the player)
o To remove a single player - click the player in the Chosen participants list and click the Remove button (or just double click the player)
o To add multiple participants - in the Available participants list, select the participants by clicking the first player, holding down the Shift key, and clicking the last player, or by holding down the Control key and clicking individual participants and click the Add button
o To remove multiple participants - in the Chosen participants list, select the participants by clicking the first player, holding down the Shift key, and clicking the last player, or by holding down the Control key and clicking individual participants and click the Remove button
o To add all participants, click the Add All button
o To remove all participants, click the Remove All button
NOTE: you can include a mixture of Active and Inactive participants for any Static filter
o Click Save Filter
